Refund Policy

This Refund Policy is part of our Terms of Service and applies to all paid subscriptions for Q-Invoice. Please read this policy carefully before making a purchase.

1. Subscription Refunds

At Q-Invoice, we strive to provide excellent service and value to our customers. We understand that circumstances may change, and we have established the following refund policy to be fair and transparent.

Monthly Subscriptions

Monthly subscriptions are eligible for a full refund within 7 days of the initial purchase or renewal, provided:

  • You have not actively used the Service during the refund period (e.g., created or sent invoices)
  • This is your first refund request for a monthly subscription

Annual Subscriptions

Annual subscriptions are eligible for a full refund within 14 days of the initial purchase, subject to the following conditions:

  • Minimal usage of the Service during the refund period
  • This is your first annual subscription refund request

After the initial 14-day period, annual subscriptions may qualify for prorated refunds as described in Section 3.

2. Cancellation Process

You may cancel your Q-Invoice subscription at any time. Here is what you need to know about the cancellation process:

How to Cancel

  • Log in to your Q-Invoice account
  • Navigate to Settings and then Subscription
  • Click on “Cancel Subscription”
  • Follow the prompts to confirm your cancellation

Alternatively, you may contact our support team at support@qinvoice.in to request cancellation.

Effect of Cancellation

  • Your subscription will remain active until the end of your current billing period
  • You will continue to have full access to all features until the subscription expires
  • No automatic renewal charges will be made after cancellation
  • Your data will be retained for 90 days after the subscription ends, during which you can reactivate your account

Reactivation

If you change your mind after cancelling, you can reactivate your subscription at any time before it expires or within 90 days of expiration. Your data and settings will be preserved.

3. Prorated Refunds

Prorated refunds are available for annual subscriptions under certain circumstances:

Eligibility for Prorated Refunds

  • You have used the Service for more than 14 days but less than 6 months
  • There is a documented service issue that we are unable to resolve
  • You are downgrading from an annual plan due to business closure or significant change in circumstances (documentation may be required)

Prorated Refund Calculation

The prorated refund amount is calculated as follows:

Refund Amount = (Annual Fee / 12) x Remaining Complete Months - Processing Fee

A processing fee of INR 500 or 10% of the refund amount (whichever is lower) will be deducted from the prorated refund to cover administrative costs.

No Prorated Refunds After 6 Months

Annual subscriptions that have been active for more than 6 months are not eligible for prorated refunds. In such cases, your subscription will continue until the end of the billing period after cancellation.

4. Refund Timeline

Once a refund request is approved, the processing time depends on your payment method:

Please note that while we process refunds promptly on our end, the actual credit to your account depends on your bank or payment provider's processing times. If you have not received your refund after the expected timeframe, please contact your bank first and then reach out to us if needed.

5. How to Request a Refund

To request a refund, please follow these steps:

Step 1: Gather Information

Before submitting your request, please have the following information ready:

  • Your registered email address
  • Subscription plan and billing date
  • Reason for requesting a refund
  • Payment transaction ID (if available)

Step 2: Submit Your Request

Send an email to support@qinvoice.in with the subject line: “Refund Request - [Your Email Address]”

Include all the information gathered in Step 1 in your email.

Step 3: Confirmation and Review

You will receive an acknowledgment of your refund request within 24 hours. Our team will review your request and respond within 2-3 business days with a decision.

Step 4: Processing

If your refund is approved, you will receive a confirmation email with the expected refund amount and timeline. The refund will be processed to your original payment method.

6. Non-Refundable Items

The following items and circumstances are not eligible for refunds:

  • Partial month usage: If you cancel mid-month, the remaining days of that month are not refundable
  • Add-on services: One-time purchases or add-on services are generally non-refundable once delivered
  • Account violations: Accounts terminated due to violations of our Terms of Service are not eligible for refunds
  • Repeat refund requests: Multiple refund requests within a 12-month period may be denied at our discretion
  • Free trial conversions: If you convert from a free trial and continue using the Service past the refund period
  • Promotional or discounted plans: Subscriptions purchased at a significant discount may have modified refund terms as specified at the time of purchase
  • API usage fees: Any additional usage-based charges beyond the base subscription

Important: Please allow us reasonable time to process your refund request. We are committed to resolving all refund requests fairly and in accordance with this policy. If you believe your refund request was unfairly denied, you may escalate the matter by replying to the denial email with additional context.
